We are committed to privacy and to transparency in our information practices. In this privacy notice, we describe our collection, use, disclosure and processing of personal information that we collect online via our website and by email, as well as in connection with our products and services. The sale and provision of such Services are also governed by our Standard Terms and Conditions. We are data controllers with respect to personal information about you that we receive from you and/or from our clients. We may also act as a data processor of your personal information in certain circumstances, in which case we will process personal information only under the instructions of our clients. This privacy notice describes our practices when we are acting as a data controller.

2. Scope
This privacy notice describes, generally, how Recruideo, LLC, in its capacity as a ‘controller’ or a ‘business’ under applicable laws, handles and processes personal information related to:
- The use of our website and associated services that link to this privacy notice, and other websites and online services controlled by us (collectively, the “Website”);
- Clients that purchase our Recruideo Assessments (online psychometric assessments, asynchronous video interviews, background screening including credit checks, qualifications verification, and criminal background checks where legally permitted) and/or reporting services (collectively with Assessments and screening, the “Services”) (or the key contacts that work for our clients) (“Clients”);
- Individuals that participate (“Participate”) in any of our Assessments or screening services at the request of a Client (“Participants”); and
- Any individual about whom we process personal information in the course of providing our Services (“you” or the “data subject”).
Our collection, use, disclosure and processing of personal information about individuals will vary depending upon the circumstances. This privacy notice is intended to describe our overall privacy and data protection practices when we are acting as a data “controller” or “business”.
Personal information. In this privacy notice, our use of the term “personal information” includes other similar terms under applicable privacy laws such as “personal data” and “personally identifiable information”. In general, personal information includes any information that identifies, relates to, describes, or is reasonably capable of being associated, linked or linkable with a particular individual.

The controller of your personal information collected pursuant to this privacy notice is Recruideo, LLC.
4. International Data Transfers
Due to the international nature of internet-based Assessment and training services, we may from time to time appoint third parties to process data containing information about you on our behalf as a data processor, or store such information in, or transfer it to persons located in, countries outside of the European Economic Area (“EEA”). These countries may not have data protection laws equivalent to those which are in force in the EEA to protect your information. Where we transfer your information to such third-party data processors and/or third parties outside of the EEA and/or process your information outside the EEA, we shall ensure that they provide sufficient guarantees in respect of the technical and organisational security measures, and take reasonable steps to ensure their compliance with those measures in order to ensure your information is adequately protected in accordance with applicable data protection laws. 5. Personal Information We Collect and Process
We collect information you provide us via the Website and/or in connection with our Services, such as when you register or complete an Assessment on our website, by corresponding with us by phone, email or otherwise, or through our online psychometric Assessment platform, asynchronous video interviews, or background screening services.
5.1 Sources of Personal Information We Collect
You may provide personal information to us when you register to use our Website, begin or complete an Assessment (including asynchronous video interviews), background screening (credit checks, qualifications verification, criminal background checks where legally permitted), subscribe to our information services, place an order on our Website, post in discussion boards, enter a competition, promotion or survey, or otherwise interact or communicate with us via our Website and/or in connection with our Services. The actual personal information we collect and process about you will vary depending upon the circumstances. In general, we may collect personal information directly from you, automatically related to your use of our Website and other Services and from third parties, as described below.
5.1.1 Information We Collect Through Our Website
The personal information we collect through our Website may include your name, occupation, company for which you work, business address, home address, email address and phone number, financial and credit card information, and biographical information. If you contact us, we may also keep a record of that correspondence.
When you use our Website, we also automatically collect the following information through the use of cookies and similar technologies:
- technical information, including your login information, browser type and version, time-zone setting, browser plug-in types and versions, operating system and platform;
- traffic data, location data, weblogs and other communication data and data required for our own billing and administration purposes;
- usage data, such as the source address that the page request is coming from, including your Internet protocol address (IP address), domain name, date and time of the page request, the referring website (if any) and other parameters in the URL (e.g. search criteria); and
- information about your visit, including: the full Uniform Resource Locators (URL) clickstream to, through and from our Website (including date and time); pages you viewed or searched for; page response times; download errors; length of visits to certain pages; page interaction information (such as scrolling, clicks, and mouse-overs); methods used to browse away from the page; and any phone number used to call our customer service number.
5.1.2 Information We Collect Related to Participants and Assessments
From Clients. Clients may provide personal information about Participants. This information may include the Participant's name, email address and other contact details. Participants may also provide this information directly to us.
From Participants. Participants may take part in Assessments through our Website, or in a paper-and-pencil format, and they may provide personal information to us via surveys or other collection methods. This includes online psychometric assessments, asynchronous video interviews, and background screening services (credit checks, qualifications verification, and criminal background checks where legally permitted and with appropriate consent).
When Participating in an Assessment, asynchronous video interview, or background screening, we will ask the Participant to provide information and responses, such as the following personal information:
- “Identification Data” — your name, image, video (for asynchronous video interviews), email address and other contact details. You must provide Identification Data as this is required in order for us to administer the Assessment or screening.
- “Assessment Data” — your responses to Assessments and asynchronous video interviews; this may include or allow us to infer information such as motives, talents, aptitudes, competencies, interests, and behaviour in the workplace.
- “Research Data” — responses to questions about you including gender, age, cultural background, qualifications, work experience, and details regarding your employment. Provision of Research Data is voluntary.
- “Background Screening Data” — information for credit checks, qualifications verification, and criminal background checks. Processed only where legally permitted with appropriate consent or other lawful basis.
5.2 Special Categories of Personal Data
Research Data may include personal information that reveals information about you such as your racial or ethnic origin which is considered “special categories of personal information” under EEA, UK and other data protection laws (“Sensitive Data”). This Research Data does not form part of the Assessment and is only used for our research purposes, including to monitor our tests and questionnaires for fairness and to maintain high standards for our Assessments.
Where required by applicable laws, if we directly request your Sensitive Data, we will ask for your explicit consent prior to collecting and processing such data. You do not have to provide Sensitive Data to us (other than images or videos for identification or interview purposes).
6. Purposes of Use and Processing
We are committed to keeping your personal information confidential and secure. The way in which we use your personal information will depend upon whether you are a Client or a Participant.
6.1 Personal Information About Clients
- to fulfil our obligations arising from any contracts entered into between you and us;
- to provide you with information about further Assessments, reports and services we offer;
- to notify you about changes to our service;
- and for other legitimate business purposes such as Website and service improvement, fraud prevention, and analytics.
6.2 Personal Information About Participants and Assessments
- to administer and deliver Recruideo Assessments, asynchronous video interviews, and background screening services;
- to generate and provide reports and results to the requesting Client;
- to perform research, validate and improve our assessment tools and fairness monitoring;
- to comply with legal obligations;
- and for other legitimate interests such as security, product development, and billing.
7. Profiling
We use automated tools to process Assessment Data and video responses to generate profiles of candidates' competencies, behavioral tendencies, motives, talents, aptitudes, interests, and workplace behavior. These profiles are provided to Clients to assist in their hiring or talent decisions. Recruideo does not make final hiring or employment decisions; those are made solely by the Client. Where automated decision-making has legal or similarly significant effects, we provide notice and applicable rights (including human review where required by law).
8. Legal Bases for Processing Your Personal Information
We rely on one or more of the following legal bases for processing your personal information: performance of a contract with you or the Client, our legitimate business interests (e.g., service delivery, product improvement, fraud prevention), compliance with legal obligations, and (where required by law, particularly for sensitive data or certain marketing) your explicit consent. You may withdraw consent at any time by contacting privacy@recruideo.com; this will not affect the lawfulness of processing based on consent before withdrawal.
9. Marketing
We may use personal information to provide you with information about further Assessments, reports and services we offer that are similar to those that you have already purchased or enquired about. If you do not want us to use your personal information for marketing purposes, please let us know by emailing privacy@recruideo.com. We will not send marketing communications to Participants who are only completing Assessments at a Client's request.
10. Disclosure of Personal Information
We may disclose your personal information to:
- the Client who requested the Assessment or screening;
- third-party service providers (e.g., cloud hosting providers, background screening vendors for credit/qualifications/criminal checks, analytics providers) who process data on our behalf under strict contractual obligations;
- in the event of a merger, acquisition, or sale of assets;
- as required by law, regulation, or legal process;
- to protect the rights, property, or safety of Recruideo, our clients, or others.
We do not sell personal information in the traditional sense.
11. Third-party Contact Details
If you provide us with personal information about third parties (e.g., references or 360-degree feedback contacts), you must ensure you have their consent or other lawful basis to do so. We will treat their information in accordance with this Privacy Policy.
12. Cookies and Tracking
We use cookies and similar tracking technologies (including pixels and web beacons) to operate our Website, improve functionality, analyze usage, personalize content, and support advertising. Full details are available in our separate Cookie Policy (linked on the Website). You can manage your cookie preferences through our cookie banner or browser settings.
13. Interest-based Advertising
We and our third-party advertising partners may use cookies and similar technologies to deliver interest-based advertising on and off our Website. You can opt out of certain interest-based advertising through industry tools (e.g., www.aboutads.info) or our cookie manager.
14. How Do We Protect Information About You?
We implement appropriate technical and organisational security measures (including encryption, access controls, and regular security assessments) to protect your personal information. However, no method of transmission or storage is 100% secure. You are responsible for keeping your account credentials confidential.
15. Retention of Personal Information
We retain personal information for as long as necessary to fulfil the purposes outlined in this Policy, comply with legal obligations, resolve disputes, and enforce agreements. For Participants, Assessment Data, video recordings, and screening results are typically retained for up to 24 months (or as specified in the Client contract) after which they may be anonymized for research purposes unless you or the Client request earlier deletion (where permitted). Client data is retained for the duration of the business relationship plus a reasonable period thereafter.
16. Your Rights and Choices
Depending on your location and applicable law, you may have rights to: access, correct, delete, restrict, or port your personal information; object to processing; withdraw consent; and not be subject to solely automated decisions with significant effects. To exercise these rights, please contact us at privacy@recruideo.com. We will verify your identity and respond within the time required by law. Note that some rights may not apply to Assessment Data once submitted, as altering it would undermine the validity of the assessment.
17. Changes to Our Privacy Policy
We may update this Privacy Policy from time to time. The updated version will be posted on our Website with a new effective date. We may also notify you by email where appropriate. Your continued use of the Services after changes constitutes acceptance of the updated Policy.

Additional Information for Residents in Certain Jurisdictions
Brazil
The following applies to personal data we process from individuals resident in Brazil under the National Data Protection Law (LGPD). Sensitive personal data under the LGPD includes data about racial or ethnic origin, religious belief, political opinion, union membership, religious/philosophical/political organisation membership, health or sexual life, and genetic or biometric data when linked to a natural person.
Under the LGPD, individuals have certain rights including:
- Confirmation of the existence of processing;
- Access to the data;
- Correction of incomplete, inaccurate or outdated data;
- Anonymization, blocking or deletion of unnecessary, excessive or non-compliant data;
- Portability of the data to another service or product provider;
- Deletion of personal data processed with consent;
- Information about public and private entities with which the data has been shared;
- Information about the possibility of not providing consent and the consequences of such refusal;
- Revocation of consent.

California Residents
California law (CCPA/CPRA) grants California residents specific rights regarding their personal information, including:

California residents may submit verifiable requests by emailing privacy@recruideo.com. We will verify your identity and respond as required by law (generally within 45 days, extendable once). We do not sell personal information in the traditional CCPA sense, and we do not currently offer financial incentives for the collection, sale, or deletion of personal information. We will not discriminate against you for exercising any of your CCPA rights.
European Union / EEA / Dubai International Financial Centre
Individuals located in the EU/EEA or DIFC have the following rights under the GDPR (or equivalent DIFC law):
- Right of access
- Right to rectification
- Right to erasure (“right to be forgotten”)
- Right to restriction of processing
- Right to data portability
- Right to object
- Rights related to automated decision-making and profiling
For international transfers, we use appropriate safeguards such as Standard Contractual Clauses. To exercise these rights, contact privacy@recruideo.com. We will respond without undue delay and, in any event, within one month (extendable in complex cases).
Asia and Australasia
We comply with all applicable data protection laws in the Asia-Pacific region (including Australia's Privacy Act, Singapore's PDPA, etc.). Mainland China
If you usually live in Mainland China, by continuing to use our Services you also consent to the cross-border transfer of personal information (subject to Standard Contractual Clauses or Security Assessment where required by PIPL) and processing of personal information for the purposes described in this Policy. You have rights under the Personal Information Protection Law (PIPL) including the right to know, right to decide, right to restrict or refuse processing, right to correction/deletion, and right to withdraw consent.
